The working customer workflow

Share the workspace request link

Open Workspace settings and copy the public request URL. For an equipment-specific intake point, print its asset QR label. Public requesters do not need paid member seats.

Describe the observed issue

The requester selects a site, supplies a name, describes the issue and chooses an urgency. Email is optional. The form includes anti-spam handling and identifies possible unresolved duplicates.

Review before creating a job

A maintenance manager reviews the request and converts a valid issue into a work order. Keep distinct problems separate and avoid creating a second job just because the same fault was reported twice.

Keep the requester informed

The submission returns a private status link showing the request and linked work status. Save that link. This is separate from granting access to the workspace or guaranteeing an email notification.

When this fits

Use this when people outside the maintenance team need to report a clearly located issue without learning the full CMMS.

Current scope

This is maintenance intake and triage, not an emergency dispatch service or a full customer help desk. Anonymous users cannot browse private work history. Native messaging-platform ingestion and contractual response-time guarantees are separate requirements.
